1. Definitions and Key Terms

The following terms are used throughout this document and are defined here.

1.1
"Traveasy"  means Traveasy, registered number 02024271, at 14 Hanworth Road, Hounslow, Middlesex, TW3 1UA, UK, and where applicable its subsidiaries. 
1.2
"You" / "Passenger" means any person named on the booking, including the lead passenger and all party members. 
1.3
"We" / "Us"  means Traveasy.
1.4
"Booking Confirmation"   — The written confirmation (email or document) issued by Traveasy confirming acceptance of your booking and forming a legally binding contract
1.5
"Supplier"  means any independent third-party providing services that form part of your booking, including airlines, hotels, and transfer operators. 
1.6
"Force Majeure"  means any circumstances which are unusual and/or unforeseeable and beyond our control, the consequences of which could not have been avoided even if all due care had been exercised, including but not limited to: war, threat of war, riot, civil strife, political unrest, hostilities, government action, industrial dispute, natural or other disaster, nuclear incident, terrorist activity, drought, rescheduling or cancellation of flights, alteration of airline or aircraft type, or technical transport problems outside Traveasy's control. 
1.7
"Major Change" includes:
  1. an alteration in scheduled departure or return time of 12 hours or more;
  2. a change of UK departure airport, excluding changes between intracity airports;
  3. a change of hotel or apartment to a materially lower standard;
  4. a significant change of resort area;
  5. a significant increase in the price of your holiday.
1.8
"Minor Change" —  Any change not constituting a Major Change, including schedule adjustments under 12 hours, aircraft type changes, or room category changes within the same star rating.
1.9
"LCC" —  Low-Cost Carrier (e.g. Ryanair, easyJet, Wizz Air). LCC bookings are subject to the relevant airline's own direct booking conditions.
1.10
"Admin Fee" — Traveasy's internal service charge for processing a request, separate from any supplier penalty or fare difference.
1.11
"Supplier Fee" —  Charges levied directly by the airline, hotel, or other principal, payable in addition to Traveasy's Admin Fee.

2. About Traveasy – Our Role

2.1
Traveasy operates primarily as an authorised agent on behalf of Suppliers. When you book a flight-only, hotel-only, or car hire service, your contract is directly with the Supplier, governed by their own conditions of carriage.
2.2
Where Traveasy combines and sells two or more travel services as a Package, Traveasy acts as the organiser under the Package Travel Regulations 2018 and accepts full responsibility for the proper performance of that Package.
2.3
As the agent, Traveasy's liability for single-component bookings is limited to twice the booking fee (commission) earned on your reservation, except in cases of death or personal injury caused by Traveasy's own negligence

3. Your Financial Protection

3.1

All the package and Flight-Plus holidays we sell are covered by a scheme protecting your money if the supplier fails. 3.2
Traveasy holds the ATOL License No. 3853. When you buy an ATOL protected flight or flight inclusive holiday from us you will receive an ATOL Certificate. This lists what is financially protected, where you can get information on what this means for you and who to contact if things go wrong. 
  1. We, or the suppliers identified on your ATOL Certificate, will provide you with the services listed on the ATOL Certificate (or a suitable alternative). In some cases, where neither we nor the supplier are able to do so for reasons of insolvency, an alternative ATOL holder may provide you with the services you have bought or a suitable alternative (at no extra cost to you). You agree to accept that in those circumstances the alternative ATOL holder will perform those obligations, and you agree to pay any money outstanding to be paid by you under your contract to that alternative ATOL holder. However, you also agree that in some cases it will not be possible to appoint an alternative ATOL holder, in which case you will be entitled to make a claim under the ATOL scheme (or your credit card issuer where applicable). The payment will be shown in your bank statement or credit card statement as btpayment.com 
  2. If we, or the suppliers identified on your ATOL certificate, are unable to provide the services listed (or a suitable alternative, through an alternative ATOL holder or otherwise) for reasons of insolvency, the Trustees of the Air Travel Trust may make a payment to (or confer a benefit on) you under the ATOL scheme. You agree that in return for such a payment or benefit you assign absolutely to those Trustees any claims which you have or may have arising out of or relating to the non-provision of the services, including any claim against us, the travel agent (or your credit card issuer where applicable). You also agree that any such claims may be re-assigned to another body, if that other body has paid sums you have claimed under the ATOL scheme. 
  3. ATOL Protection – Important InformationSome of the flights and flight-inclusive holidays on this website are financially protected by the ATOL scheme. But ATOL protection does not apply to all holiday and travel services listed on this website. This website will provide you with information on the protection that applies in the case of each holiday and travel service offered before you make your booking. If you do not receive an ATOL Certificate, then the booking will not be ATOL protected. If you do receive an ATOL Certificate but all the parts of your trip are not listed on it, those parts will not be ATOL protected.Please see our booking conditions for information, or for more information about financial protection and the ATOL Certificate go to: www.caa.co.uk
  4. Due to unforeseen circumstances, airlines may find it necessary to alter the published routing. This may be a last-minute change or can even occur during the flight to/from your destination. 
  5. Flight timings may also change. Should this occur, and if we are able, we will inform you as soon as we are made aware of any changes to the previously confirmed timings given to us by the airlines. 
  6. If there are long transits such as overnight stays at airport these are the responsibility of the passenger, and neither Traveasy, or the carrier concerned will be liable to provide accommodation or meals for the duration of the transit period. 

4. Online Bookings and Passenger Responsibility

4.1
Bookings can be made online at www.traveasy.com, by email at info@traveasy.com , or by phone with further details on our website.
4.2
All bookings are subject to availability at the time of issuance. An order acknowledgment email does not constitute a confirmed booking. A binding contract is only formed between Traveasy and the passenger upon issuance of a booking confirmation or invoice by Traveasy.
4.3
The lead passenger must be aged 18 or over to accept these terms and conditions on behalf of themselves and the other passengers named in the booking.
4.4
Upon receipt of your confirmed booking and/or email, it is the passenger(s) responsibility to verify all the details. If anything appears incorrect, the passenger must contact Traveasy immediately to make any amendments.
4.5
Online bookings are processed automatically. We accept no responsibility for discrepancies arising from the information you have provided. Any errors including an incorrect name(s), incorrect date(s) or incorrect selection of travel arrangement(s) may result in the denial of boarding and additional costs which are payable by you.
4.6
Traveasy reserves the right to decline any booking. Such situations may arise with the presence of a pricing error. In such circumstances, any payment will be refunded in full.
4.7
All written and verbal communication with Traveasy may be recorded for quality assurance, compliance and dispute resolution purposes.

5. Pricing Errors

5.1
Prices displayed on our website are believed to be accurate at the time of publication. Until issuance, prices are subject to change by the airline without notice.
5.2
If the price of a fare changes between the time of booking and the time of issuance, you will be promptly informed and offered the following options:
  1. Accept the price discrepancy of the fare and proceed.
  2. The right to cancel your booking with a full refund of all amounts paid.
5.3
We reserve the right to cancel any booking containing a pricing error — including cases where the price is significantly lower than the expected market rate due to typographical errors or technical glitches. This right applies regardless of whether the booking has been confirmed or payment has been processed. 
5.4
Pricing errors may arise from technical pricing errors beyond our control. We reserve the right to cancel a reservation where such errors are outside our control. You will be notified by email in all such cases.
5.5
We are not liable for any losses, damages, or expenses arising from pricing errors, including but not limited to lost profits or missed opportunities. 

6. Payments

6.1
Full payment is required at the time of booking to issue a ticket unless otherwise stated.
6.2
For the protection of our customers, payments undergo verification checks via our payment gateway providers. We reserve the right to reject any payment should they fail the verification checks. Upon this, the passenger will be immediately notified.
6.3
If a payment method is made on behalf of a passenger, proof of billing address or a passport copy may be needed to verify the payment.
6.4
We accept the following methods of payment: Visa, Mastercard, American Express, and Super Payment. 
6.5
We reserve the right to decline a booking if payment has not been successfully debited. We cannot accept debit card payments from a third party over the telephone. We reserve the right to withhold confirmation of a booking until full payment has been received. 

7. Balance Payments and Surcharges

7.1
You must pay the balance by the due date shown on your confirmation invoice. For some telephone bookings, full payment may be required at the time of booking. This will be advised to you at the time of booking.
7.2
Failure to pay the balance when due may result in cancellation of your booking, where the charges associated with the cancellation may be levied unto you.
7.3
Until the full payment for your booking has been received, price quotations may be subject to change.
7.4
Aviation security levies, fuel surcharges, and government-imposed taxes are subject to change even after booking. Traveasy reserves the right to pass on such increases and will notify you immediately.
  1. Surcharges may also arise from government action, including increases in VAT or other government-imposed charges. Surcharges may also arise from adverse currency exchange rate variations.
  2. We include in our prices a charge representing extra aircraft insurance and security costs imposed on airlines and tour operators. As these costs are beyond our control, we reserve the right to increase this charge at any time and will inform you of any such change. 
7.5
By completing payment, you confirm that you authorise us to process the payment for the travel services requested and acknowledge that, once any ticket, booking, voucher or travel document has been issued, the booking may become non-refundable, partially refundable, or subject to airline, supplier and/or administration charges.
7.6
If, after a booking has been confirmed or travel documents have been issued, you cause the payment to be withheld, reversed, recalled or challenged, we may treat the booking as unpaid unless and until the payment is successfully received and cleared in full. In such circumstances, we reserve the right, where possible and subject to the rules of the relevant airline, supplier or service provider, to cancel, suspend, void or withhold any unused travel services, tickets, vouchers, confirmations or ancillary services connected to the booking. Any such action will be taken without prejudice to our right to recover any amounts properly due from you.
7.7
You will remain liable for all costs, losses, charges and expenses reasonably incurred by us in connection with the booking, including but not limited to ticket issuance costs, airline or supplier charges, cancellation or amendment fees, administration fees, chargeback handling costs, legal or recovery costs, and any costs incurred in defending a payment dispute.
7.8
Where a chargeback or payment dispute is raised in relation to a booking that has already been issued, used in whole or in part, or otherwise fulfilled by us or the relevant supplier, we reserve the right to dispute the chargeback and provide evidence of the booking, payment authorisation, ticket issuance, supplier confirmation, correspondence, and any other relevant information.
7.9
Nothing in this clause affects your statutory rights or any rights you may have to raise a genuine dispute where services have not been provided as contracted. However, raising a chargeback or payment dispute does not automatically cancel your booking, release you from liability, or entitle you to a refund outside the applicable airline, supplier or booking conditions.

8. Flight Bookings & Ticketing

8.1
Most airline tickets issued by Traveasy are non-refundable, non-changeable, and non-transferable unless the specific fare rules of the airline state otherwise. Fare rules will be communicated at the time of booking.
8.2
Flight Timings; All departure and arrival times are estimates provided by airlines. Passengers must reconfirm flight details directly with the airline at least 72 hours prior to departure.
8.3
Direct vs Non-Stop Flights:
  1. A direct flight may include technical stopovers (refuelling, crew change) without a change of aircraft.
  2. A non-stop flight has no intermediate stops.
  3. Connecting (indirect) flights require a change of aircraft. Full routing details are provided at the time of booking.
  4. Codeshare Flights; Your flight may be operated by an airline different from the one shown on your booking under a codeshare agreement. The operating carrier's conditions of carriage will apply. Traveasy.com is not liable for changes arising from codeshare or alliance arrangements.
8.4
Check-In Procedures; It is your sole responsibility to comply with airline check-in requirements. We recommend arriving at the airport at least 3 hours before departure. Check-in desks generally close 60 minutes prior to departure. Failure to comply may result in denied boarding without any refund entitlement.
8.5
Baggage; Baggage allowances are set by the airline and vary by route, class, and fare type. Cabin baggage restrictions apply across many airlines; please verify your allowance directly with the airline prior to travel. Many countries, including the UK, have restrictions on importing food, plant, and animal products.
8.6
Overnight Transits; Any accommodation or meals required during extended transit stops or overnight layovers are the sole responsibility of the passenger. Neither Traveasy nor the supplier is liable for such costs unless explicitly included in your booking.
8.7
City and Destination Taxes; Certain cities and destinations impose a local city or tourist tax payable directly to the accommodation provider upon arrival. This charge is not included in your booking price. It is your responsibility to check what local taxes may apply to your destination before travel.
8.8
LCC Bookings; For flights with Low-Cost Carriers (e.g. Ryanair, easyJet, Wizz Air), Traveasy acts as a booking facilitation agent only. Any changes, cancellations, or post-booking queries must be made to the airline directly. Traveasy agents may have limited ability to manage LCC bookings post-issuance.
8.9
Conditions of Carriage; Many services forming part of your booking are provided by independent suppliers, including airlines, hotels, and transfer operators. These suppliers operate under their own terms and conditions, which form part of your contract with us or with the relevant supplier directly. 
  1. Some supplier terms and conditions may limit or exclude the supplier's liability to you, typically in accordance with applicable international conventions. Copies of the relevant provisions are available on request from us or from the respective supplier. 
  2. You agree that the operating carrier or transport company's own "Conditions of Carriage" will apply to you on that journey. When arranging this transportation for you, we rely on the terms and conditions contained within these international conventions and those "Conditions of Carriage". You acknowledge that all of the terms and conditions contained in those "Conditions of Carriage" form part of your contract with us as well as the transport company and they are deemed to be included by reference into this contract.  
8.10
Combination of Individual Tickets; Where your itinerary is constructed from two or more separate one-way tickets rather than a single return or through ticket, this will be clearly indicated during the booking process. Should any issue arise including cancellations, schedule changes, air traffic control restrictions, or other disruptions each ticket will be treated as independent. Each airline's individual conditions will govern its respective leg of the journey. Flights issued under separate booking references are considered separate journeys, and any disruption to one segment may affect the remaining leg. Traveasy will not be held liable for any disruptions, missed connections, or additional costs arising from separately ticketed itineraries. We strongly recommend taking out comprehensive travel insurance to cover this risk. 
8.11
Self-Transfer and Multi Airline Itineraries; Where your booking involves more than one airline, or tickets issued under separate booking references, it is solely your responsibility to determine whether your itinerary constitutes a self-transfer. Traveasy is not liable for: 
  1. Missed connections arising from self-transfer arrangements. 
  2. Denied boarding on any segment of a separately ticketed itinerary. 
  3. Additional costs, schedule misalignment, or any other losses arising from self-transfer. 
It is your responsibility to allow adequate connection time between separately booked flights and to re-check in and re-clear security where required. 
8.12
Routing Changes; Airlines may find it necessary to alter published routings due to unforeseen circumstances. This may occur as a last-minute change or during the course of a flight. Where we are notified of any routing or timing change, we will advise you as soon as reasonably practicable. Where a combination of separately ticketed flights is used, each leg operates independently under the issuing airline's own terms. Traveasy accepts no liability for missed connections between separately ticketed flights. 

9. Cancellations or Amendments by the Supplier or Traveasy

9.1
We reserve the right to amend your booking other than where the change constitutes a Major Change (as defined in Section 1). Most such changes are minor, and we will advise you at the earliest possible opportunity. 
9.2
We strongly recommend that you take out comprehensive travel insurance, which in most cases includes cover against loss of deposit and cancellation charges. 
9.3
If we are required to make a Major Change to your booking, we will inform you at the earliest possible date. In such circumstances, you will be entitled to: 
  1. Accept the change; 
  2. Accept an alternative arrangement of comparable or superior quality, where available; or 
  3. Cancel your booking and receive a full refund of all monies paid. 
9.4
Minor changes constitute:
  1. Schedule change of less than 12 hours
  2. Aircraft type change
  3. Hotel room category change within the same star rating
  4. Carrier change within an alliance network
9.5
Where Traveasy is required to cancel a package due to Force Majeure, you entitled to a full refund of monies paid. No additional compensation is payable in Force Majeure scenarios.
9.6
Airlines reserve the right to change, delay, or cancel any scheduled flight without prior notice. Traveasy has no control over such decisions and accepts no liability for operational, or schedule changes made by the airline.
9.7
Traveasy will make reasonable efforts to notify you of schedule changes received from the airline. However, notification cannot be guaranteed in all circumstances. We strongly recommend passengers reconfirm all flight details with the airline at least 72 hours before departure.
9.8
Handling fees for schedule changes are as follows:

9.9
Handling fees are payable in addition to any supplier-imposed fees. Admin fees are non-refundable are all circumstances. Please refer to points 10.6 and 10.7 for supplementary information regarding admin and handling fees.
9.10
A major schedule change constitutes a situation where the supplier makes a schedule change that is equal to or in excess of three hours from the original schedule. If a major schedule change occurs, Traveasy will offer the following options, subject to airline approval:
  1. Accept the revised schedule at no additional cost.
  2. Rebooking on an alternative date subject to availability and fare difference.
  3. Request a full refund of the flight component.
9.11
Traveasy’s booking fee for the original reservation is non-refundable regardless of the reasons for cancellation or schedule change unless otherwise explicitly stated.

10. Cancellation by Passenger – Policy and Charges

10.1
You may cancel your booking at any time. All cancellation requests must be submitted in writing via email to info@traveasy.com , from the email address registered on the booking and quoting your booking reference number. Verbal cancellation requests will not be accepted unless otherwise explicitly stated.
10.2
A cancellation request takes effect from the date and time the written request is acknowledges by Traveasy.
10.3
Most airline tickets are wholly non-refundable. Where a partial or full refund is permitted by the supplier, supplier cancellation charges will be deducted from any amount refunded to you. These charges may be 100% of the total booking value.
10.4
Admin fees for cancellations are as follows:

10.5
All admin fees are payable in addition to any supplier cancellation penalty. Admin fees are non-refundable under all circumstances.
10.6
These amounts represent the minimum admin fee charged for different scenarios. Admin fees are subject to increase in excess of these amounts such as for urgency surcharge (72hrs before departure)
10.7
If payment is made in alternate currency to pound sterling, these admin fees will be converted to the currency of the original payment, using current exchange rates.
10.8
Traveasy can submit a refund request for partially used tickets on your behalf. However, any refund amount is wholly subject to airline discretion and is not guaranteed.

11. Amendments by Passenger

11.1
All amendment requests must be made in writing to info@traveasy.com. Amendments are subject to airline availability, fare rules, and the Supplier's conditions. Traveasy cannot guarantee that any amendment will be possible once a ticket has been issued.

11.3
All admin fees are charged in addition to any airline or Supplier amendment fee and any applicable fare difference. All amounts paid for amendments are non-refundable. Please refer to points 10.6 and 10.7 for supplementary information regarding admin fees.
11.4
For major name corrections, tickets are non-refundable. Minor name changes constitute a name correction of up to 3 letters. Minor typographical corrections (up to 3 characters) are subject to airline policy which will be provided to you upon request. Full name changes are treated as a cancellation and rebooking and full cancellation charges will apply to the original ticket.
11.5
All passenger names must match the names on the respective passenger’s passport. We strongly recommend you double check names thoroughly, including middle names where required by the airline, before confirming a reservation. Traveasy accepts no liability for costs arising from passengers failing to provide accurate name details at the time of booking.

12. No Show Policy and Denial of Boarding

12.1
If you are declared a no-show by the supplier for any sector of your journey, the supplier will typically cancel your entire remaining itinerary. No refund will be due for any unused sectors.
12.2
Traveasy shall not be liable for any delays, disruption, denied boarding, missed flights, missed connections, additional costs, losses, or expenses arising from airport procedures or matters outside Traveasy’s control, including but not limited to airport security checks, check-in queues, baggage drop, immigration or passport control, customs checks, boarding gate procedures, airport congestion, or any failure by the passenger to arrive at the airport in sufficient time. We strongly recommend you arrive at the airport check-in desk at least three hours before departure to avoid a no-show penalty.
12.3
You will not be entitled to a refund if you are prevented from travelling by any person in authority who considers you unfit to travel or likely to cause disturbance to other passengers. We reserve the right to terminate your flight and/or holiday if your behaviour causes distress, damage, or danger to other passengers, employees, or accommodation guests. In such circumstances, no refund or compensation will be payable, and we may seek to recover any costs incurred because of your behaviour. 
12.4
Traveasy or any Supplier/Principal reserves the right to refuse carriage or terminate a booking without refund if, in the opinion of a person in authority, a passenger's behaviour causes distress, danger, offence, or damage to property or other passengers. Passengers refused carriage due to behaviour or intoxication are not entitled to a refund or compensation of any kind. Any costs incurred by Traveasy or a Supplier as a direct result of a passenger's conduct may be recovered from that passenger.

13.Refunds

13.1

13.2
The estimated turnaround time is active from the date of acknowledgment by Traveasy to your refund request.
13.3
Certain taxes, levies, and fuel surcharges may be non-refundable regardless of cancellation reason. For an exact breakdown, contact info@traveasy.com.
13.4
There is no automatic right to a refund. When an air ticket is returned to us, we will arrange for it to be submitted to the relevant airline or consolidator for assessment of refund eligibility in accordance with their applicable terms and conditions. 
13.5
Future travel credits issued by airlines are valid only for the named passenger and carry the airline's expiry date. Traveasy is not responsible if a future credit expires unused.
13.6
Claims under EC Regulation 261/2004 (denied boarding, cancellation, or long delays) must be made directly with the operating airline.

14.Package Holidays

14.1
Where Traveasy combines and sells two or more travel components as a Package under the Package Travel and Linked Travel Arrangements Regulations 2018, Traveasy accepts responsibility as the Organiser.
14.2
Your Rights as an Organiser-Protected Package Customer:
  • Right to a full refund if the Package is cancelled due to unavoidable and extraordinary
  • circumstances
  • Right to a price reduction or compensation for improper performance of the Package
  • Right to at least one of the following upon a significant change:
  • Accept the change
  • Full refund of all monies paid
  • Alternative Package of comparable or higher standard
  • Alternative Package of lower standard with price difference refunded
14.3
Package Cancellation Charges made by the passenger are as follows.

14.4
The above charges are in addition to Traveasy's Admin Fee of £75 per passenger for processing Package cancellations.
14.5
Package Transfers; A passenger may transfer their Package to a third party (subject to Supplier approval) by notifying Traveasy in writing at least 7 days before departure. A transfer admin fee of £75 per transferring passenger applies, plus any Supplier charges. Both the transferor and transferee remain jointly and severally liable for all outstanding payments.

15. Force Majeure and Extraordinary Circumstances

15.1
Traveasy shall not be liable or required to pay compensation where performance of any obligation is affected by circumstances that are unavoidable, extraordinary, and beyond the reasonable control of Traveasy or its Suppliers. Such circumstances include, but are not limited to:
  1. War, threat of war, armed conflict, or civil unrest
  2. Acts of terrorism or threats thereof
  3. Epidemics, pandemics, or serious public health emergencies
  4. Natural disasters (earthquakes, floods, volcanic eruptions)
  5. Severe or unusual adverse weather conditions
  6. Nuclear or chemical incident
  7. Government action, regulatory change, or travel bans
  8. Industrial disputes, including air traffic control strikes
  9. Airport or port closures
  10. Airline insolvency or sudden operational cessation
  11. Technical failure in transport infrastructure
15.2
In such circumstances, Traveasy will endeavour to provide suitable alternatives where reasonably practicable, and where possible, offer alternative arrangements. For Package holidays affected by Force Majeure, Section 13.2 rights apply.

16. Travel Insurance

16.1
Traveasy strongly recommends all customers purchase comprehensive travel insurance at the time of booking. Your premium should be paid simultaneously with your deposit.
16.2
We recommend your policy covers, as a minimum:
  • Cancellation and curtailment costs
  • Emergency medical treatment and repatriation
  • Personal accident and liability
  • Loss or damage to baggage and personal effects
  • Missed departure and travel delay
  • Airline / supplier insolvency (where not covered by ATOL/ABTA)
16.3
The insurance quotation provided by Traveasy is valid for UK residents under 65 years of age without declared pre-existing medical conditions.
16.4
Traveasy accepts no liability for losses that would have been covered under a travel insurance policy had the customer chosen to purchase one.

17. Visas, Passports, Safety and Health Requirements

17.1
All passport, visa, travel insurance, and health certificate requirements are your responsibility. Traveasy provides generalised guidance only and accepts no responsibility for any delay or expense incurred through any irregularity in your travel documents. 
17.2
You are responsible for ensuring your passport is valid at the time of booking and throughout your trip. Many countries require your passport to be valid for a minimum of six months beyond your return date. Please check the entry requirements for your specific destination. 
17.3
You are responsible for obtaining all required visas, including transit visas for countries you may pass through en route to your destination. For example, passengers travelling to Canada via the USA require a valid US visa even if they are not stopping in the USA (and vice versa). Please verify all visa requirements with the relevant embassies or high commissions. 
17.4
You are responsible for ensuring that you have received all required vaccinations and completed any other health formalities required for your destination. All costs for vaccinations are payable by you. For further information, contact the Department of Health (tel: 0800 555777) or MASTA — Medical Advisory Services for Travellers Abroad (tel: 020 8994 9874). 17.5
For USA-Bound Travel; All passengers must hold a valid ESTA (Electronic System for Travel Authorisation) at least 72 hours before departure, including those transiting the USA. Machine-readable passports are mandatory. Visit www.uk.usembassy.gov for up-to-date requirements.
17.6
Australia / New Zealand: An ETA or Electronic Travel Authority is required for eligible nationalities. Passengers must verify requirements via the relevant Embassy or www.gov.uk /foreign-travel-advice.
17.7
Children under 18 years of age travelling to South Africa or Botswana must carry certified copies of their full birth certificate. Where only one parent is accompanying the child, a certified written consent letter from the non-travelling parent is also required. 
17.8
Airline regulations generally require that passengers who are 28 weeks or more into pregnancy at the time of their return travel carry a medical certificate confirming fitness to fly. After 32 weeks, most airlines will decline to carry passengers without specific medical clearance. You must notify us of any pregnancy at the time of booking or as soon as you become aware. Airline policies vary and we will need to confirm acceptance with the carrier prior to ticketing. 
17.9
If you are travelling with young children, we recommend you advise us at the time of booking. Whilst the safety of your children is of the utmost importance to us, you must remain vigilant at all times during your holiday to ensure their wellbeing. Please also refer to Section 17.7 regarding additional documentation requirements for children travelling to South Africa or Botswana. 
17.10
The Foreign, Commonwealth & Development Office (FCDO) issues up-to-date travel advice on all destinations, including information on passports, visas, health, safety, and security. We strongly recommend you check the latest advice before travel at: www.gov.uk /foreign-travel-advice.

18. Baggage, Special Requests, Seating and Frequent Flyer Programmes

18.1
Baggage allowances are determined entirely by the operating airline and are subject to change without notice. Our quoted prices include the airline's standard allowance where applicable.
18.2
Hold luggage may be chargeable on LCC and certain full-service carriers. This will be disclosed at the time of booking.
18.3
Seating cannot be guaranteed prior to departure unless pre-booked and confirmed by the airline. Some airlines charge a fee for pre-booked seats; this is not included in headline fares unless stated.
18.4
Special requests (meals, wheelchair assistance, infant bassinets, frequent flyer mileage) will be forwarded to the airline but cannot be guaranteed. Service fees charged for placing special requests are non-refundable.
18.5
Frequent flyer miles/air miles may or may not be credited depending on the airline's fare rules. Traveasy accepts no responsibility if mileage is not credited to your account. Please not that Not all fare types are eligible for frequent flyer credit. Please verify eligibility directly with your airline before completing your booking. 

19. Data Protection and Privacy

19.1
To ensure that your travel arrangements are processed correctly, Traveasy is required to use personal information such as your name, address, special requirements, and dietary needs. We apply appropriate security measures to protect this data in accordance with applicable data protection legislation. 
19.2
Traveasy processes your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Personal data collected includes name, date of birth, passport details, contact information, payment details, and where relevant, health or dietary information.
19.3
Your data will be shared with the parties directly responsible for your travel arrangement. This includes suppliers (airlines, hotels, transfer operators), payment processors, security and credit checking agencies, customs and immigration authorities, and the US CBP where travel involves the United States.
19.4
By making a booking, you consent to the transfer of your data to Suppliers outside the European Economic Area where necessary for the provision of your travel arrangements. We will only pass sensitive information — such as details of disabilities or dietary and religious requirements — to those directly responsible for your travel arrangements. 
19.5
You may request a copy of the data held about you. A reasonable administrative fee may apply for data subject access requests.
19.6
Traveasy may contact you with relevant travel offers and updates. We will not use your data for unsolicited marketing purposes without your express permission. You may opt out at any time by emailing info@traveasy.com .
19.7
We cannot provide your booking if we are unable to share the relevant information with the appropriate suppliers. Information held by your travel agent is subject to that company's own data protection policy. 

20. Complaints Procedure

20.1
If you experience a problem during your travel, please report it to the relevant Supplier immediately to give them the opportunity to resolve it at the time.
20.2
Post-travel complaints must be submitted to Traveasy in writing within 28 days of your return to the UK: Customer Services Department, Traveasy Ltd, 14 Hanworth Road, Hounslow, Middlesex, TW3 1UA. Email: info@traveasy.com . Please include: your booking reference, full passenger names, travel dates, a concise description of your complaint, and any supporting documentation.
20.3
Traveasy will acknowledge your complaint within 5 working days and aim to provide a full response within 28 working days.
20.4
If your complaint cannot be resolved directly with Traveasy, and involves an ABTA member, you may refer the matter to ABTA's Alternative Dispute Resolution (ADR) scheme (approved by the Chartered Trading Standards Institute) at www.abta.com.
20.5
You may also access the European Commission Online Dispute Resolution platform at www.ec.europa.eu/consumers/odr.

21. Liability & Limitation of Claims

21.1
As agent for single-component bookings, Traveasy's maximum liability is limited to twice the booking fee (commission) earned on your reservation, except where death or personal injury results from Traveasy's own negligence.
21.2
For Package bookings where Traveasy is Organiser, liability is capped at three times the price paid (for non-injury claims), subject to the limits of applicable international conventions (Warsaw/Montreal, Athens, COTIF, Paris).
21.3
Traveasy accepts no liability for:
  • Acts or omissions of Suppliers beyond Traveasy's control
  • Force Majeure events (Section 15)
  • Losses caused by the passenger's own conduct or negligence
  • Business losses of any kind
  • Losses that could not have been reasonably foreseen at the time of booking
21.4
All claims must be brought within two (2) years of the date on which the cause of action arose. Claims not submitted within this period shall be time-barred.
21.5
Traveasy does not exclude liability for death or personal injury caused by its own negligence or that of its employees acting in the course of their employment.

22. Governing Law and Jurisdiction

22.1
These Terms & Conditions, and any contract formed under them, are governed by and construed in accordance with the laws of England and Wales.
22.2
Any disputes arising from these Terms & Conditions or any booking made with Traveasy shall be subject to the non-exclusive jurisdiction of the courts of England and Wales.
22.3
Traveasy is a Member of ABTA. Where disputes cannot be resolved directly, ABTA's ADR scheme offers an alternative resolution pathway without the need for court action. Visit www.abta.com for further information.
